Summary:

Seattle Genetics is seeking a Facilities Coordinator within the Facilities Management, Soft Services function of the Real Estate and Facilities (REF) organization. This role will be responsible for delivering exceptional services that transform the workplace experience for Seagen’s employees and guests by providing soft services and move/relocation support to the site as well as operational activities in the areas of maintenance, operations, vendor oversight, equipment, and office supply management.

This role will collaborate with other REF teams such as Occupancy Planning, Hard Services, Engineering, Security and Environmental Health & Safety to proactively ensure that expected service levels are achieved. This person will possess a highly collaborative approach to business with strong customer service, interpersonal, and influencing skills. This role will report to the Sr. Facilities Manager, Soft Services.

Principal Responsibilities:

  • Inspects the facility and other structures to detect malfunctions or necessary repairs and repairs or submits proactive tickets for technicians or building engineers as required.
  • Identify opportunities for improved operation and service excellence; resolve work order requests related to office equipment (copiers etc.) and service issues (janitorial, landscapers etc.) and other general soft services facility related concerns.
  • Conducts daily building walkthroughs and perform minor repairs to ensure a clean, organized, and fit for purpose working environment.
  • Conducts regular inspections of conference rooms, pantries, copy rooms, client restrooms, wellness rooms, and shared spaces for cleanliness and supplies.
  • Responds to all work orders in a timely manner, ensuring KPI compliance and excellent customer service.
  • Provides information, direction and escort to soft services vendors, contractors and other service providers as required to ensure excellent coordination and execution of work, with minimal disruption.
  • Places and monitors soft services work orders submitted to the landlord and external vendors.
  • Assist in the procurement of vendors and services as required.
  • Updates and maintains accurate records and official documentation for the site/s including site pages where any other activities to support operations, including, but not limited to moves/reconfigurations, events, reception, and building operations.
  • Maintains and updates department newsletter and internal site pages.
  • Coordinates the delivery of site amenities which may include fitness, food services, transportation, and act as the site key point of contact.
  • Provides backup coordination and support for events, meetings, and cultural café. Assists with special events, including set-up and break-down of cafeteria, conference and multi-purpose rooms as required.
  • Actively support an environment of teamwork, cooperation, performance excellence, and personal success. Complies with safety and health rules.
  • Coordinates space management and planning activities including analyzing moves for minimal disruption; move coordination; space inventory; space allocation tracking; specifying set-ups; maximizing space utilization.
  • Maintains facility floor plans and seating assignments and facilities the MAC functions for all sites to include moving and arranging furniture or equipment as applicable.
  • Perform other job-related duties as assigned that may include but are not limited to reception and guest support, mail and courier services, office supplies and equipment maintenance, landlord relations and management of building access passes, safety, and security support.

Essential Requirements:

  • Minimum of 3 years’ experience working with internal and external vendors and services contracting.
  • Minimum of 4 years’ experience in a customer service capacity.
  • Minimum of 2 years of FM or Operations experience.
  • Ability to lift or move furniture and equipment up to 25lbs.

Preferred Requirements:

  • Understanding of basic technical aspects of property (computer room air-conditioning, chiller system, fire protection system, mechanical & electrical system) is advantageous.
  • Prior experience in facilities, property management, hospitality, or related field preferred.
  • Must have strong background in people and skills, and supplier performance management, attention to detail and a passion for excellent customer service.
  • Must have an outgoing but tempered personality and be comfortable working with senior management, shows tact, discretion and good judgment in handling sensitive and confidential matters and documentation.
  • Works well within a team environment and individually, self-directed with a high energy level, track record of initiative, integrity and good judgement.
  • Excellent written and verbal communication skills; ability to communicate up, down, and across the business.
  • Exceptional organization, planning, problem solving and execution abilities. Good judgement - decision making.
  • Working knowledge of Microsoft Office Suite and facilities ticketing systems.
  • Available to work overtime, both beginning and end of day, sometimes with limited notice.
  • Knowledgeable of local occupational health and safety requirements, critical facilities and vendor management for specialized services is advantageous.
  • Ability to gather data, assess situations and quickly develop solutions with a strong analytical/financial aptitude.
  • Critical thinking, using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
